Bulawayo Saturday Market Vendor Terms & Conditions:

1. Purpose

   1. The Bulawayo Saturday Market exists to create a welcoming, family-friendly marketplace that supports local farmers, artisans, food producers and small businesses while providing visitors with a high-quality shopping experience.

   2. The event is presented by the Bulawayo Agricultural Society in partnership with  Matabele Beef Co., hereafter referred to as the organizers.

2. Application Process

   1. Submitting an application does not automatically secure a stall.

   2. Applications are reviewed to ensure a balanced mix of products and vendors.

   3. The Market reserves the right to accept or decline any application.

3. Stall Fee

   1. Successful applicants will be required to pay a non-refundable stall fee to confirm  their booking. A stall is not confirmed until payment is received.

   2. Vendors have an option for a standard stall (3mx3m) for US$30 or a double stall (3mx6m) for US$60.

   3. The stall fee covers:

      1. Your allocated trading space

      2. Event marketing and promotion

      3. Security during trading hours

      4. General market management

      5. Access to market facilities

   4. The stall fee does not include:

      1. Gazebo

      2. Tables

      3. Chairs

      4. Electricity (unless specifically arranged and approved in advance)

      5. Internet access

4. Market Hours

   1. The market will run from 9:00 – 15:00

   2. Vendors must complete setup before the market opens.

   3. Vendor vehicles may only enter and exit the market during designated times, unless otherwise directed by the organizers.

5. Weather

   1. The Bulawayo Saturday Market operates as an outdoor event.

   2. Markets may proceed in light rain or other minor weather conditions.

   3. Only the organizers may decide to postpone or cancel an event where weather creates an unsafe environment.

6. Vendor Equipment

   1. Vendors are responsible for bringing:

      1. A safe gazebo or shade structure

      2. Tables

      3. Chairs

      4. Product displays

      5. Extension cords (if approved)

   2. All gazebos must be securely weighted down.

7. Product Standards

   1. All products offered for sale must be:

      1. Legal

      2. Safe

      3. Clean

      4. Accurately described

      5. Of acceptable quality

8. Food Vendors

   1. Food vendors are responsible for complying with all applicable food safety regulations.

   2. Prepared food must be stored, handled and served safely.

   3. All food products must clearly identify known allergens where applicable, including common allergens such as:

      1. Milk

      2. Eggs

      3. Wheat (gluten)

      4. Peanuts

      5. Tree nuts

      6. Soy

      7. Fish

      8. Shellfish

   4. Vendors remain solely responsible for the food they prepare and sell.

9. Prohibited Products

   1. The following products may not be sold without prior written approval from the organizers:

      1. Illegal goods

      2. Counterfeit goods

      3. Firearms or weapons

      4. Tobacco products

      5. Live animals

      6. Any product deemed unsafe or inappropriate for a family-friendly event.

10. Liability

    1. The Bulawayo Saturday Market and event organizers are not responsible for:

       1. The quality or safety of products sold by vendors

       2. Customer disputes

       3. Loss of income

       4. Unsold stock

       5. Theft

       6. Damage to vendor equipment

       7. Personal injury arising from vendor negligence

    2. Each vendor accepts responsibility for their own business activities.

11. Sales

    1. The Market provides an opportunity to trade

    2. The Market does not guarantee:

       1. Customer numbers

       2. Sales

       3. Revenue

       4. Profit

    3. Sales performance varies depending on customer demand and individual vendor presentation.

12. Conduct

    1. Vendors agree to:

       1. Treat customers respectfully.

       2. Maintain a clean stall.

       3. Keep noise to an appropriate level.

       4. Avoid aggressive selling.

       5. Conduct business professionally.

    2. Market management may remove vendors whose behaviour breaches these terms per section 15 of this agreement.

13. Setup & Breakdown

    1. Vendors must:

       1. Arrive during the designated setup period.

       2. Be fully set up before opening.

       3. Remain open for the duration of trading unless approved otherwise.

       4. Leave their trading area clean.

14. Photography

    1. The Market may photograph or film vendors, products and visitors for promotional purposes.

    2. By participating, vendors grant the organizers permission to use photographs and video captured during market activities for future promotional and marketing purposes without additional compensation.

15. Cancellation

    1. Vendor fees are generally non-refundable unless the event is cancelled by the organizers.

    2. If a vendor cannot attend, they should notify organizers as soon as possible.

16. Right of Admission

    1. The organizers reserve the right to request that a vendor immediately cease trading or leave the marketwhere they:

       1. Breach these Terms & Conditions

       2. Sell prohibited products

       3. Behave aggressively or inappropriately

       4. Create an unsafe environment

       5. Fail to comply with directions from market management

17. Acceptance

    1. By submitting an application, vendors confirm that they have read, understood and agree to these Vendor Rules & Terms.
